Integrating HubSpot CRM with Squirrels.ai

Automate your cold outreach and lead processing. By integrating your HubSpot CRM with Squirrels.ai, your AI agents (such as AI SDR) can pull contacts directly from HubSpot, run automated outreach workflows, and automatically sync contact statuses back into your CRM.

Overview & workflow

When you link your HubSpot account to a Squirrels.ai mission:

  1. Trigger contacts: Set a contact’s lead status in HubSpot to Push to AI SDR.
  1. Data pull/synchronization:
    • On-demand sync: Manually trigger an immediate pull inside the mission.
    • Automated background job: While your mission is running, Squirrels.ai automatically scans and pulls new Push to AI SDR contacts at every interval.
  2. Status sync back: Once pulled, Squirrels.ai updates the contact’s status in HubSpot to AI SDR: Active.
  1. As your AI agent achieves specific outcomes, those statuses are automatically reflected back in HubSpot.

Step 1: Configure custom lead statuses in HubSpot

Before connecting your account, you must add custom lead statuses in HubSpot, so our AI agent knows which contacts to pull (Read: Overview & workflow).

  1. Log in to your HubSpot portal.
  2. Go to Settings – Objects – Contacts – Lead Status properties.
  3. Add the following custom lead statuses:
    • Push to AI SDR (Trigger status used to push a contact to Squirrels.ai)
    • AI SDR: Active (Updated automatically by Squirrels.ai once processing starts)
    • AI SDR: Interested / Not interested / No response / Invalid

Note: Ensure that the user connecting the integration is set as the Contact Owner in HubSpot for the contacts you wish to pull.

Step 2: Connect HubSpot to Squirrels.ai

  1. Log in to your Squirrels.ai dashboard.
  2. Open your target mission (e.g., your AI SDR mission).
  3. Go to Upload Contacts and select Connect via API.
  1. Choose HubSpot from the integration dropdown menu and click Connect.
  1. You will be redirected to the HubSpot authorization page, and you need to select the HubSpot Account/Company you want to link.
  1. Click Authorize / Connect to grant permissions. Once approved, you will be redirected to Squirrels.ai.

Troubleshooting & common checklist

Contacts not syncing?

  • Ownership check: Ensure the email ID used to log in to Squirrels.ai matches the Contact Owner assigned to the contacts in HubSpot.
  • Status verification: Double-check that the lead status in HubSpot is set to Push to AI SDR.
  • Mission status: Verify that the Squirrels.ai mission is active/running for automated background pulls.
  • UI refresh: If the status does not appear in HubSpot immediately, refresh the page.
